What is Document Scanning?

With document scanning, a scanner is used to convert your paper files into digital images. The images are then stored on CD/DVD, in the document cloud, or both.

What is OCR?

OCR (optical character recognition) identifies the words in your documents, and stores them as searchable data in a PDF file.

Why Should I Have My Documents Scanned?

There are several good reasons to have your documents scanned. First of all, you save space – you no longer need file folders and cabinets. You also save money, because you no longer need staff to manage all those documents. And best of all, you no longer need to worry about your valuable documents being lost or damaged in the event of a fire, flood, or other disaster.

When you have your documents scanned, it’s also very easy and cost-effective to have multiple backup copies on CD/DVD in different locations, again protecting you against disaster. And of course the cloud provides the ultimate backup solution.

Couldn't I Just Do It Myself?

Many businesses and private citizens who deal with only a few documents do, in fact, handle their own scanning. however, if you’re dealing with thousands of documents (or even hundreds), outsourcing is the better solution – you don’t have to purchase and maintain equipment or train staff, so you can focus on other tasks. At eRecordsUsa, we use high speed, state of the art scanners that deliver top-quality images, usually at a far lower cost than if you handled the scanning in-house.

What Happens to My Originals?

If you want your originals, we will return them to you. Most of our clients, however, prefer to have us shred the originals, once they have approved the scanned images.

What About Confidentiality?

Many of our clients (doctors, lawyers and accountants to name a few) are in occupations that require a high level of confidentiality. Accordingly, we never outsource. All our scanning is done in our secure facility, and our employees must pass rigorous background checks. Then they are required to sign non-disclosure agreements, and are monitored via CCTV. We fully guarantee confidentiality from the time your documents are delivered to us until they are returned to you or shredded.

If you want them back, we can return them to you. However, the majority of our clients prefer to have us to shred their documents for them. Your documents will be returned or shredded once you have reviewed and approved the scanned documents.
