How Book Scanning Works

 

At eRecordsUSA, we take your books and translate them into digital files that are saved on CD/DVDS, and that can also be stored online. Your job is to decide which books you want to have scanned, and package them for pickup, or ship them to us. Once we have your books, we will begin to prepare them for scanning according to the method you have chosen (see the Services tab for details on the methods available). Then, we’ll scan them for you and create files in the format of your choice:

  • PDF (image only)
  • PDF (searchable with OCR)
  • JPEG
  • TIFF
  • Word (audited or unaudited), RTF or TEXT
  • ePub (for your e-reader)
  • Flipping books for online and offline publications

Destructive Book Scanning

The destructive method is most appropriate when your main concern is preserving the information that the book contains, as opposed to the book itself. The spine is cut, and the pages removed and scanned in an ADF scanner. Then, the pages are shredded.

This is a very cost-effective way of archiving text and images, as well as conserving space. For example, a school or university may wish to make information available to its students without devoting valuable space to multiple copies of texts, theses, and other information that has no inherent physical value, but a great deal of value in terms of information. It’s also useful for private citizens who want to preserve, in readable format, the works of an author they love so that they can return to the books again and again, while freeing up space in the home for other uses.

Non Destructive Book Scanning

The non-destructive method leaves the books intact. This method is used most commonly by schools, universities and libraries, when the book itself has value – perhaps it’s rare – but the information still needs to be imparted widely. Digitizing means that the book can be delivered to a number of people, but the book itself is protected from excessive handling. It’s also appropriate for private citizens who may have a book that they love to read over and over, but which has sentimental value – they can read to their heart’s content without damaging the book by handling it excessively.

With this method, the book is scanned and digitized, and then stored on CD/DVD or in the cloud. The book itself is returned, intact, to the owner.

Why Should I Have My Books Scanned?

There are two very good reasons to have your books scanned. First, it’s a means of backing up valuable information that you may wish to retrieve and use over and over – that’s why schools and universities are increasingly turning to digital storage for texts, journals, theses, etc. that their students use over and over. When your books are scanned, there’s never any danger of loss or damage, and the files can be used over and over by multiple users.

Second, if space is at a premium, you can store literally thousands of books digitally on a set of disks or online that would otherwise take up a good deal of square footage. That’s why scanning is desirable even for private citizens who may have small libraries that they want to preserve, while freeing up space in their homes for other purposes.

Can Any Book Be Scanned?

Legally, yes, provided that you are not duplicating copyrighted material for re-sale. And physically, the answer is also yes. eRecordsUSA can scan even very large books, and we’re also experienced in handling delicate, collectible books. Often, we are able to handle books that other businesses are unable or unwilling to scan.

Note that the non-destructive method is considerably more expensive than the destructive method of scanning books. When we cut the spine, we get loose sheets of papers, which are scanned using high speed ADF Scanners.

Note also that we are unable to provide pricing for certain types of books, like yearbooks, other oversize books, or genealogical volumes without obtaining further information from you. Simply provide us with the details, and we’ll get back to you with a quote within 24 hours.

They kindly hand held me through a long term project of digitizing every photo album, framed photo, and CD accumulated for over 30 years.     •   My family and I feel so fortunate to have found Pankaj and eRecords USA. We have dozens of family photo albums and with three siblings there wasn't going to be a good way to split them up. The photos were in albums with plastic sheet covers and many of them had writing on the back and/or on the side of the picture on the album itself. We wanted to preserve the handwriting and information about the photo and the actual photos.

      Before consulting with Pankaj my highest hope was to get the photos scanned. What he was able to do went above and beyond what I had hoped for. Not only did he create a PDF each album, preserving the order of the photos and all of the handwriting, but he then provided individual scans of every single photo AND the information on the back at a resolution quality that will allow us print the photos in the future. Not a single photo was damaged and some of them were in albums for over 70 years.

      I can't imagine the patience and perseverance it took to gently handle these hundreds of photos. In addition to the quality of the work, the communication, customer service, delivery times, accuracy of pricing and transparency of the process were top notch.
